P•A•S Associates is seeking an organized, dependable, and detail-oriented Part-Time Administrative Assistant to support our HR consulting and training team. With flexible scheduling, this position is an excellent opportunity for a college student pursuing a degree or career in Human Resources who would like to gain practical, hands-on experience in an HR consulting environment.
Key Responsibilities
- Answer incoming calls professionally, take accurate messages, and direct inquiries appropriately.
- Provide general administrative and clerical support to the HR team and training instructors.
- Maintain training calendars and assist with scheduling on-site and off-site training sessions.
- Prepare training materials, handouts, employee policy handbooks, PowerPoint presentations, and classroom supplies.
- Create and maintain online registration links, training flyers, brochures, and promotional materials.
- Send training confirmations, reminders, and other client communications in a timely manner.
- Assist with recruitment-related administrative tasks.
- Create and schedule marketing and social media content.
- Prepare and revise client correspondence using proper grammar and professional formatting.
- Assist clients with questions in a friendly, responsive, and professional manner.
- Perform general office duties, including data entry, scanning, copying, printing, and organizing documents.
- Provide oral and written communication in both English and Spanish when needed.
- Complete additional administrative projects and support duties as assigned.
Minimum Qualifications
- High school diploma or GED required; post-secondary coursework is preferred.
- College coursework in Human Resources, business administration, or a related field is preferred.
- At least two years of customer service experience, preferably in an office environment.
- At least one year of clerical, administrative, or data-entry experience.
- Excellent verbal and written communication skills in English and Spanish.
- Intermediate proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Ability to type at least 35 words per minute.
- Strong organizational and time-management skills.
- Excellent attention to detail and ability to meet deadlines.
- Ability to manage multiple assignments in a fast-paced environment.
- Professional telephone etiquette and strong interpersonal skills.
- Ability to exercise discretion, sound judgment, and tact when handling confidential or sensitive information.
- Ability to work independently while also following direction and collaborating with the team.
